*DOUGLAS COUNTY* *Position: Deputy Clerk - Superior Court* *Department: *Clerk's Office -Waterville, WA *Reports To: *County Clerk *FLSA: *Non-exempt *Affiliate: *Included in AFSCME bargaining unit *Salary Range: 5; *$4064 - $ 4635/mo.
- DOQ *OVERVIEW* Position is responsible for the maintenance, preservation, and destruction of legal documents and financial services in the areas of criminal, civil, domestic, probate, adoption, paternity, mental health, dependencies, and juvenile offenders.
The ability to maintain a high degree of confidentiality is essential.
*ESSENTIAL JOB FUNCTIONS* * Inspect, systematize, and input documents into the Superior Court Case Management system (SC-CMS).
* Process all legal documents including but not limited to subpoenas, warrants of arrest, writs of garnishment, execution and writs of judgement, and appeals presented on all case types.
* Process notification and corrections to the Department of Licensing.
* Image (scan) documents, link to the SC-CMS, retrieve as needed and maintain all legal records for permanent preservation and retrieval at any future date and in accordance with Records Retention Statutes.
* Provide information, assistance and direction concerning Clerk’s office services to the public, attorneys, or other parties.
This may be in person over the counter or via telephone.
* Responsible for the proper control, return, and destruction of exhibits in all case types.
* Attend Court proceedings as directed by the Clerk and run the recording system, keep log notes, take complete and accurate minutes of hearings, and keep a thorough list of exhibits marked and admitted by the Court.
* Input and receive court ordered payments into the Odyssey Case Management System.
* Adapt to policy and legislative changes as they occur.

*KNOWLEDGE, SKILLS, AND ABILITY REQUIREMENTS* · RCW’s, State Court Rules, and Local Court Rules of Chelan/Douglas Counties.
Statutory function of the County Clerk, legal terminology, and clerical procedures related to Superior Court.
· Operate a personal computer and software necessary to perform the requirements of the job.
· Relate positively with co-workers, elected officials, public and private individuals and agencies.
· Effectively deal with people who may be emotionally charged by issues and information.
· Advanced skills with computers and software with an emphasis in the MS Office Suite.
· Meet deadlines while maintaining flexibility necessary to accommodate any given situation.
· Maintain composure under stressful situations and provide problem-solving techniques.
· Follow verbal and written instructions and keep accurate records.
· Establish and maintain effective working relationships and good public relations with other employees, agencies, property owners, and the general public.
· Advanced ability to communicate effectively, both orally and in writing.
* Maintain a highest degree of accuracy, reliability, confidentiality and trustworthiness * Must follow dress code as established by the County Clerk.
*Supervisory Responsibility* · This position has no supervisory responsibilities.
*PHYSICAL REQUIREMENTS / WORKING CONDITIONS* · Work is performed primarily in an office with extended periods of sitting, standing, bending, kneeling, walking, and lifting (up to 40 pounds waist high).
· Driving, climbing stairs, and walking outdoors on uneven terrain in a variety of weather conditions.
· May work an alternative schedule at the sole discretion of the County.
· Potential for working evenings, occasional weekends, holidays, overtime, and out of town travel.
· Sitting for extended periods while operating a computer or performing other office functions at a desk.
· Manual dexterity necessary to perform repetitive tasks.
· Duties are performed in a high traffic and noisy office environment with several interruptions and in a courtroom setting with testimony of a sensitive and stressful nature.
*LICENSES, CERTIFICATES AND OTHER RECRUITING REQUIREMENTS* · (The County may, at its discretion, consider combinations of education, experience, certifications, and training in lieu of specifically required qualifications contained herin.
) · Any combination of experience and education, which provides the applicant with the desired skills, knowledge and ability, required to perform the work.
· High school diploma or GED.
· A valid Washington State Driver’s License is required.
· A background security check may be required if a job offer is made.
