*Hiring Process*
· Participate in developing or updating job descriptions, maintain JD library
· Posting and Recruitment, including both passive and active recruitment efforts
· Coordinate with HR Director to develop and maintain job information on company website
· Schedule and participate in Interviewing, and hiring decision discussions.
· Conduct Background Checks as needed · Conduct reference checks as needed · Ensure drug testing for safety sensitive positions · Draft and send written Offer Letters in consultation with supervisor and HR Director as needed · Conduct new hire orientation and onboarding for both domestic and H2A new hires · Ensure accuracy and annual updating of all New Hire and Orientation Packets in consultation with HR Director · Maintain EE files, either hard copy or electronic · Responsible for ordering and distributing/posting all required HR legal posters in all orchards.
· Coordinate with Payroll on ESD unemployment notification (primarily reason for Termination or Quit) · Conduct Exit Interview with departing employees as much as possible.
· Produce data and reports as needed or requested *Employee Relations* · First line contact for employee concerns and employee relations/performance issues in the orchards, in consultation with HR Director, supervisors and orchard managers.
· Serve as translator for EE issues and company meetings as needed · Establish pattern of proactive HR presence in all orchards.
· Conduct interviews and investigations as needed for performance issues and discrimination/harassment issues Coordinate with supervisors and HR Director on results and consequences.
· COVID point of contact for orchards, in coordination with HR Director · Coordinate as needed with Safety department for Drug & Alcohol issues * For Cause Testing in orchards * DOT Clearing House for truck drivers in orchards if needed · Coordinate DOT random testing for drivers – quarterly – if needed · Involved in Supervisor training in coordination with HR Director and orchard managers.
· Conduct regular employee trainings such as preventing harassment in all orchards *H2A Program* · H2A recruitment coordination with orchards and external partners in coordination with HR Director orchard managers and H2A Housing Manager.
· Coordinate recruitment lists and timing with orchard managers and H2A Housing Manager · Coordinate and participate in H2A arrival onboarding and orientation.
Ensure hiring and orientation materials are updated and distributed each year.
Support orchard office staff as needed.
· Coordinate with external partners, HR and Safety personnel for new arrival and mid-season worker orientation · Handles Paycards for H2A and domestic hires in orchards in coordination with Office Assistants · Handle H2A Recruitment Reports for domestic workers through 50% of contract(s) · Coordinate with H2A Housing Manager on domestic recruitment issues as needed · Handle ongoing H2A Abandonment Report through full H2A season · Oversee H2A driver DMV and WH515 certification process, including ensuring drivers are added to vehicle insurance.
· Handle H2A and domestic worker questions, inquiries and complaints – consult as needed with HR Manager and orchard managers · Conduct regular and random orchard visits for H2A worker connection/relationships and employment audit to prevent “ghost employees”.
Includes random H2A housing inspections.
· Coordinate with H2A Housing Manager and orchard managers for H2A departure event/dinner.
· Coordinate with HR Director and Orchard Executives on budget and ordering of H2A departure gifts.
· Coordinate with each orchard manager on list of returnees and referrals for the next year, to be shared with external recruitment partner.
